Verify Assets

The Verify Assets feature gives the user the ability to delete assets, and then lock them down so they cannot be deleted after final approval.  Then, users can only Void assets.

To access the Verify Assets feature, from the Form Selection toolbar on the far left side of the screen, select the ‘Assets’ tab, which invokes the Asset detail screen beneath the Assets screen grid as shown below.

•  The ‘Verify Assets’ link (shown above) is visible in the Asset detail screen if the following setting (flag) is set to ‘F’, as shown below.

Turning off Asset Verification

•  Setting the flag to ‘T’, as shown below, turns off this feature and automatically lock assets for all cases.
•  The user will not see the modal pop up to process assets or mark them as reviewed.

•  This is advisable for those trustee offices which do not want to use this workflow to review assets.

Processing Assets (Keeping and Removing Assets)

•  Clients can click on the ‘Verify Assets’ link to view the modal pop up shown below.

•  Clicking on ‘View Case Assets’ displays the list of assets for the selected case, as shown in the second screenshot below.

•  Clicking on ‘Process’ after unchecking the assets the user does not want to keep, which invokes the screen shown below, allows the user to remove the assets with “garbage” data and reorder asset numbers automatically.

Mark Cases as Reviewed

•  Clicking on ‘Mark Cases as reviewed’ in the screen shown below allows the user to ‘Commit Assets to Form 1’ without having to ‘View Case Assets’ in detail.

•  Clicking on ‘Yes’ below marks the case as reviewed and locks all of the assets.

•  Once Assets have been verified, the ‘Assets_locked’ date will be populated in the case.dbf table as shown below.

Printing a Draft Form 1

•  If the case assets have not been marked as reviewed and the user tries to run a Form 1 either from the ‘Form 1’ shortcut in the asset screen OR from the UST Forms reports screen, the modal popup (shown in the next screen below) is presented.

The user can perform the following actions:

•  Click on ‘View Case Assets’ to view the list of assets for the selected case.

•  Click on ‘Mark Cases as Reviewed’ to lock down assets for the selected cases.

•  Click on ‘Print Form 1 as not Reviewed’ to proceed printing a Form 1 with a DRAFT watermark.

•  Click on ‘Cancel’ to cancel this screen.
