Scheduled Claims Import

The Scheduled Claims Import feature allows the user to Import Scheduled Claims from Schedules D, E and F for purposes of reporting them on the Uniform Forms.
 

Accessing Scheduled Claims Import

Click on the ‘Claims’ tab in the Form Selection toolbar on the far left side of the page, then click on the ‘Sched. Claim Import’ link under the Claims sub-menu beneath the tabs on the far left side of the screen.

If Scheduled Claims are present, the grid will populate with all available Scheduled Claims.  In this screen, the column size and order are retained between sessions.  Sort is not retained.
 

Color Legend

The Color Legend highlights Scheduled Claims as follows:
  • Pink – indicates data is from Schedule D
  • Blue – indicates data is from Schedule E
  • Black – indicates data is from Schedule F
 

Matching Scheduled Claims

There are two methods for matching Scheduled Claims to filed claims:
  • Using the drop-down menu in the ‘Apply to Claim’ table column header (upper left corner of the Scheduled Claim Import screen highlighted blue, as shown above).  The status applied to the Scheduled Claim is stored in the Scheduled Claim Import screen until the Import process is complete or until the user changes the status.
  -OR-  
  • Using the Button options (‘Auto Match’ or ‘Advanced Matching’) at the bottom of the Scheduled Claim Import screen shown above.
  Either select ‘<Advanced Matching>’ from the drop-down menu (option 1 above) or click on the ‘Advanced Matching’ button (option 2 above) to open the Scheduled Claim Import – Advanced Matching screen.  This feature performs a sophisticated match based on a scoring system utilizing several parameters, including name match, account number match and other similar parameters.
 

Create Claim

  • Select ‘<Create Claim>’ from the drop-down menu (upper left corner of the Scheduled Claim Import screen highlighted blue as shown below) to create a Scheduled Claim in the Claims screen.  This option is used to create a Scheduled Claim for which a proof of claim has not been filed in the Claims screen.
 

Ignore

  • Select ‘<Ignore >’ from the drop-down menu (upper left corner of the Scheduled Claim Import screen highlighted blue as shown below) to ignore the scheduled claim upon Import.  This option is used to take no action on the Scheduled Claim in the Import process.
 

Split Scheduled Claim

Select ‘<Split Scheduled Claim>’ as shown below to open the Scheduled Claim Import – Advanced Matching screen (the second screen shown below).  This option is used to split a scheduled claim containing a priority and a non-priority portion.  Match the Scheduled Claim to a filed secured claim and a filed unsecured claim.     The field beneath the ‘Amount to Apply’ table column header shown on the right side of the screen below is editable.  Type in the grid to change the amount of the Scheduled Claim to apply to the secured filed claim and the amount to apply to the unsecured filed claim, as shown below. Note:  The unassigned balance must show $0.00.  When a claim is split, the sum of the split must equal the priority/secured and the non-priority/unsecured portion of the Scheduled Claim. Click on ‘OK’ to display ‘<Split Scheduled Claim>’ in the ‘Apply to Claim’ table column header.  Upon Import, the scheduled values will populate to the selected filed claims in the Claims screen.
 

Function Buttons from Scheduled Claim Import Screen

Auto Match:
  • Click on the ‘Auto Match’ button to match filed claims from Pacer with the Scheduled Claim based on an exact name and amount.
  • The ‘Auto Match’ feature attempts to match the amount within the percentage specified by the user in the Options screen.
  • If matches are found, a message showing the number of claims matched is displayed.  If no matches are found, the ‘0 claims matched’ message is displayed.
  Advanced Matching:
  • Click on the ‘Advanced Matching’ button to launch the Scheduled Claim Import – Advanced Matching screen for the highlighted claim record.
 
  • ‘<Advanced Matching>’ may also be selected from the ‘Apply to Claim’ table column header drop-down options, as shown below.
 
  • ‘Advanced Matching’ matches filed claims from the claims register to the selected Scheduled Claim.
  • In ‘Advanced Matching’, a score is displayed in the grid.  Scoring is based on several parameters, such as a partial name match, account number match and other similar parameters.  A higher score indicates a higher probability of a match.
  • The user selects a filed claim to match to the selected Scheduled Claim.
  • Click on ‘OK’ to store the match in the Scheduled Claims import grid for later Import.  Upon Import, the amount of the Scheduled Claim is populated into the ‘Filed’ field in the Claims screen.
  • The user may also select multiple filed claims from the list of results.  If multiple claims are selected, the total of all the selected filed claims must match the Scheduled Claim.

•  If the sum of the selected filed claims does not match the Scheduled Claim, you will receive a warning message stating, “The sum of the amounts to apply must equal the $X.XX of the scheduled amount.”

  Note:  The exception to this rule is if the Scheduled Claim has a priority or non-priority portion of ‘Unknown’.  See the example below (the Scheduled Claim Import – Amendments screen):

•  Enter a keyword in the ‘Show claims with name containing:’ field at the top right corner of the Scheduled Claim Import – Advanced Matching screen (shown two screens above) to filter choices in the grid below.

  Create Rest:
  • Click on the ‘Create Rest’ button to set all Scheduled Claims with a blank ‘Apply to Claim’ field to the ‘<Create Claim>’ status.
  Ignore Rest:
  • Click on the ‘Ignore Rest’ button to set all Scheduled Claims with a blank ‘Apply to Claim’ field to the ‘<Ignore>’ status.
  Amendments: Amended Schedules are imported at any time.  If Amended Schedules are present when the Scheduled Claim Import screen is accessed, the user is taken directly to the Scheduled Claim Import – Amendments screen (shown below), which displays the following information in the grid:
  • The date the Amendment was received
  • The number of Scheduled Claims available for Import
  • Whether the user has previously worked with the amended Scheduled Claims
 
 

Selecting an Amendment

  • To select an amendment, select the checkbox beside the ‘Received On’ (table column header) date, as shown below.
  • The green records in the lower grid indicate that they belong to the selected amendment.
 
  • Click on the ‘Select’ button to import the new amendment into the Scheduled Claim Import screen.  The following warning message is displayed:
 
  • Click on ‘Yes’ to remove ALL previously imported scheduled claims.  The new amended records populate in the Scheduled Claim Import screen.
  • Click on ‘No’ to return to the Scheduled Claim Import – Amendments screen.
  Reset: The ‘Reset’ button will UNDO ALL previous work.  If several filed claims have been linked to Scheduled Claims, clicking this button will remove the links to the claims as well as the status stored for all claims in the grid.  The user is prompted with the message, “There are no imported or ignored Scheduled Claims to reset. Reset your current ‘Apply to Claim’ settings.”  Click on ‘Yes’ to reset the data.  Click on ‘No’ to return to the previous screen, leaving the links intact. IMPORTANT NOTE:  THIS FEATURE SHOULD BE USED WITH EXTREME CAUTION.  IF CLAIMS HAVE BEEN IMPORTED USING THE ‘IMPORT’ FEATURE, ‘RESET’ WILL UNDO THE IMPORT AND ALLOW THE USER TO START OVER.   THIS IS TRUE IF THE ENTIRE BATCH OF CLAIMS HAS BEEN IMPORTED. If ‘Reset’ is selected, the user is prompted with the warning message, “Undo the 8 imported and ignored scheduled claims and start over?”, as shown below.  Click on ‘Yes’ to undo the Import and click on ’No’ to return to the previous screen, leaving the Import intact. Options: There are five options the user may set as defaults to assist in the Scheduled Claim Import process, as shown below.
  1. Automatically Match new claims when opening this form This option automatically runs the auto match feature upon opening the Scheduled Claim Import screen.  Once the auto match process has completed, the Scheduled Claim Import screen will display.
  2. Add description in claim notes – This option writes the scheduled description into a claim memo.  If a memo exists, the description is appended at the bottom of the claim notes field.
  3. Add owner type in claim notes – This option writes the owner type (H, W, J) into the claim memo.  If a memo exists, the owner type is appended at the bottom of the claim notes field.
  4. Add import date in claim notes – This option writes the date the Scheduled Claim amount was imported in the claim notes field in mm/dd/yy format.
  5. Set default T-Codes and matching criteria… – This option (which creates a screen with additional options and fields as shown below) allows the user to:

•  Set default T-Codes for Priority (default 5200-00), Secured (default 4110-00) and Unsecured (default 7100) scheduled claims.  The Scheduled Claim will import into the claims register as ‘NOTFILED’ claims and the default T-Code will auto-populate with the claim.

•  Exact amount match if within – This option allows the user to enter a percentage value to perform auto match and advanced matching.  If a filed claim amount matches within the set percentage of the Scheduled Claim amount, it is considered an exact match.  A high score will be assigned to the match and displayed in the score column of the advanced matching grid.

•  Close amount match if within – This option allows the user to enter a percentage value to perform advanced matching.  If a filed claim amount matches within the set percentage limit, the match will be considered a close match.  A score will be assigned to the match and displayed in the score column of the advanced matching grid.  The score will be lower than the score assigned to the exact match.

Import: Once the appropriate status under ‘Apply to Claim’ is set for each Scheduled Claim, click the ‘Import’ button to import the scheduled claims into the Claims screen. Warning messages: If a Scheduled Claim is linked to a filed claim of a different class a warning message is displayed, as shown below.
  • Click on ‘Yes’ to continue importing and continue showing the warning messages.
  • Click on ‘No’ to continue importing without showing the warning messages (if there are several).
  Note:  This is not a one-time setting.  The system will warn each time before importing a mismatch between the Scheduled Claim class and the filed claim class.
  • Click on the ‘Cancel’ button to return to the previous screen.
  If ‘Yes’ is clicked on, the user is prompted to confirm the action as shown below.  Click on ‘Yes’ to proceed.  You will receive a “Process Complete” message to indicate the Import was successful.
