System-Wide Options

The System-Wide Options allow users system-wide set up of Trustee Suite.

Defining System-Wide Parameters

From the top Main Menu toolbar (File Menu), select ‘File’ > ‘System Options’, which invokes the System Options screen shown below.  Select the ‘System-Wide’ tab.  The functionality and purpose of all of the options on this page are described in the sections below.

Site Identification Field

The ‘Site Identification’ field automatically defaults to your Site ID, which is created upon installation of your data by your Stretto Account Representative.  The Site ID must correspond to the Site ID Number on your “MAC Diskette” from Mechanics Bank.

IMPORTANT NOTE:   TRANSMISSIONS CANNOT BE SENT WITHOUT THE CORRECT SITE ID ENTERED INTO THE ‘SITE IDENTIFICATION’ FIELD.

Tardy NDRs

  • Warn after final 341(a) Date plus 45 days:  The default setting is 45 days, and you can change the number to set the warning date earlier or later.
  • Tardy after final 341(a) Date plus 60 days:  The default setting is 60 days, and you can change the number to set the tardy date earlier or later.

Final Report / Ledger Categories

  • FR Categories for Export (drop-down list with two options):  The default is set to ‘1-Pre-5.0’.  Select ‘2-Current’ if the user wants to select the new Final Report Categories created after Ver. 5.0 of Trustee Suite.
  • Uses Uniform Transaction Codes – Use Wildcards 3 and 4 in T-Codes:  Check this box to enable the use of UTC Wildcards 3 and 4.  For more information on wildcards, please see Wildcards.

Auto-Populate IDE when Importing Cases

This option allows you to auto-populate the IDE (Initial Debtor Exam) field when importing cases.  If the flag is checked, this feature will be enabled.

Auto-Populate NDR when 341(a) is Concluded

If this option is checked, the NDR date will automatically be added with the current date when the 341(a) meeting results are set to ‘Concluded’.

Auto-Populate Close Date when 341(a) is Dismissed

If this option is checked the Close date will automatically be added with the current date when the 341(a) meeting results are set to ‘Dismissed’.

Validate Trustee Compensation and Expense Claims

This option will control whether the trustee compensation and expense claims will be checked for accuracy when running any program, report or final report that uses those claims.  The Trustee Claim Validation window will appear before performing the selected task.  If a user does not want to check the claims for accuracy, they can uncheck the box.

Enable Transmission of Backups to Stretto via the Internet

Checking this option will enable the ‘Web Backup’ option in the Backup Data Files screen.

IMPORTANT NOTE:   THE WEB BACKUP FEATURE IS ONLY AVAILABLE FOR THOSE ON TRUSTEE SUITE VERSION 6.14 OR HIGHER.  YOU MUST ALSO BE ADDED TO OUR WEB BACKUP DATABASE BY A STRETTO ADMINISTRATOR IN ORDER TO SEND BACKUPS.  IF YOU ARE NOT ALREADY USING THIS FEATURE AND WOULD LIKE TO ACTIVATE YOUR WEB BACKUP ACCOUNT, CONTACT OUR ADMINISTRATOR AT (800) 634-7734 EXT. 2010.

Prohibit Review for Undeposited Receipt Log Items

Selecting this checkbox will prohibit review of undeposited receipt log items.

Include Trustee Comp. Fee on 1099

Selecting this checkbox will include the trustee compensation fee on Form 1099.

Account # Mask

Designed to follow the rules of the Privacy Act, this field displays the format of account numbers when printing to Final Reports or the Form 1, 2 or 3.  The default is based on a standard Mechanics Bank account number and should only be changed if the system is using non-Mechanics Bank accounts.  For example, an account number with 6 digits should be changed to ‘99XXXX’, where the 9 represents a numeric number and the X represents the redacted numbers.

Asset Date Added Based on

Use this option to select the default date for each asset added.  Via the drop-down list, you can choose between the ‘Case Open Date’ or the ‘Current Date’ of the system.

Auto Date Recalc

Selecting this checkbox will recalculate the auto-generated asset date.

Password Control

  • Minimum Length (characters):  The default setting is 6 characters; however, you can change this to any number between 1 and 8.
  • Maximum Duration (days):  The default setting is 90 days; however, you can change the number for shorter or longer password durations.  The maximum duration is 999 days.

Check Options

Click on the ‘Format:’ link to invoke the Case Customization window where you can customize the data that appears on checks, select either ‘Legacy Format’ or ‘Modern Format’ from the ‘Checks Format’ drop-down list (in the upper left corner of the screen), select the ‘Stale Date # Of Days (the default is 90 but you can change to more days or less via the up/down buttons), fill in all of the white text fields and click on ‘Save’ to submit your information or ‘Cancel’ to undo your entries.

Note:  Clicking on the ‘View By: Field Captions’ link in the upper right corner of the screen and selecting ‘Expand Field Captions’ allows you to view a check with the text fields populated.  You cannot Save in this screen, but must return to the previous screen via the ‘View By: Expanded Field Captions’ link and selecting ‘Field Captions’.

W-9 Processing

Trustee Suite allows you to electronically or manually process your W-9s.  Select one of the following radio button options:

  • Electronically Process W-9s:  Select this option to have the ability to electronically and manually process W-9s.
  • Manually Print, Sign and Send W-9s:  Select this option to only process W-9s manually.

Edit Mode Activation

Trustee Suite provides you three radio button options for selecting Edit Mode.

  • None:  Select this option if you would like to enter Edit Mode, only by clicking on the ‘Edit’ button of a screen.
  • Single Click:  Select this option if you would like to enter Edit Mode with a single (left) click of your mouse.  With this option, you can also enter Edit Mode by clicking on the ‘Edit’ button.
  • Double Click:  Select this option if you would like to enter Edit Mode by double (left) clicking your mouse.  With this option, you can also enter Edit Mode by clicking on the ‘Edit’ button.

Secure Deletion

Trustee Suite provides you three radio button options for selecting Secure Deletion.

  • Always delete files securely
  • Only when Source is “SECURE”
  • Never delete files securely

NDR Status in 341(a) Filing

Trustee Suite provides you two radio button options for selecting NDR Status in 341(a) Filing.

  • Asset Status
  • NDR Date

341(a) Flex Fields

The ‘341(a) Flex Fields’ button allows you to further customize your 341(a) Worksheet with the unique requirements of your district or 341(a) meetings.  The 10 Flex Fields can be defined according to your needs and printed with merged 341(a) Worksheets.  See the 341(a) Flex Fields page of this Help File for full details on Flex Fields.
