Once the ‘Tasks’ tab has been set up to synchronize in the Outlook Configuration screen (see Calendar, Tasks, Professionals and QuikDocs Tabs), data will begin to flow real time between Trustee Suite and Outlook.
Tasks synchronization originates from Trustee Suite and is sent to Outlook. After a Task is created in Outlook from Trustee Suite, a linkage is established between Outlook and Trustee Suite and any changes made to that date in Outlook will be kept in sync with the date in Trustee Suite.
Use the table below to see how updates in Trustee Suite or Outlook affect synchronization of Tasks.
- Action Item – This column describes where and how the data is first changed.
- Date Change – A ‘Yes’/’No’ in the Calendar column describes if the action item makes a corresponding change to the Calendar in the other system.
Action Item | Task Change |
Added in Trustee Suite | Yes |
Changed in Trustee Suite | Yes |
Deleted in Trustee Suite | Yes |
Added in Outlook | No |
Changed in Outlook | Yes |
Deleted in Outlook | No |
EXAMPLE – If an action involves deleting a Task entry in Outlook, the corresponding change is not made into Trustee Suite Tasks.
When a Task is synchronized from Trustee Suite, the following fields are mapped into Outlook:
Example | Trustee Suite Field | Outlook Field |
1 |
Case Number | Subject |
2 |
Description | Subject |
3 |
Due | Due date |
4 |
Started | Start date |
5 |
Completed | Status = “Completed” |
6 |
Assigned | (none) |
7 |
To | (none) |
8 |
Priority | Priority |
9 |
Private | Private |
EXAMPLE – The image below is an example of how a Trustee Suite Task entry would appear in Outlook Tasks (the example numbers in the table above correspond with the purple numbered comment boxes in the screenshot below).
