The Case Purge module enables you to remove inactive cases while retaining the basic case information of purged cases. Purging a case will permanently disable a case and will delete most case information. Basic case information of purged cases is still retained in the system for reference.
Case Purge Screen
The Case Purge Module allows you to purge cases safely. Purged cases may be printed and viewed by clicking on the ‘Purge Report’ button at the bottom of the Case Purge screen.
To purge cases:
• Ensure you do not have any filters set that may exclude any case you wish to reactivate.
• From the top Main Menu toolbar (File Menu). Select ‘File’ > ‘Case Purge’, which invokes the Purge screen (shown below).
• Select ‘Purge Cases and Documents’, which generates the Purge Wizard screen as shown below.
• From the screen above, select the case(s) to be purged by clicking on the checkbox(es) in the checkmark column or clicking on ‘Select All’, then click on the ‘Next’ button, which either invokes page 2 of the Purge Wizard if there are any potential issues that would prevent the cases from being purged, as shown below, or generates page 3 of the Purge Wizard if there are no issues preventing purge, as shown in the second screenshot below.
- Before selecting the ‘Purge’ button you have the option to Create an Archive File. Select either ‘Yes’ or ‘No’ as desired and click on the ‘Purge’ button.
- Trustee Suite will ask you if you are sure. If you click on ‘Yes’, the system will search your selection for cases that cannot be purged.
- If there are cases that will not be purged, a Not Purged screen will appear listing the case number(s) and reason. Once you have reviewed the list, you can also print a Case Not Purged Report from this screen. If you wish to continue with the case purge, click on ‘Continue’.
- The system will prompt you if one or more of the cases being purged has not had their fee paid. If there are 10 or fewer unpaid cases, the case numbers and names will be displayed. There are three options when unpaid fees exist: ‘Purge all’, ‘Purge paid’, or ‘Cancel’.
- You may also see a message if Document Management documents are associated with the case(s). Click on ‘Yes’ to continue the purge.
- A results screen will display the following:
- Case(s) selected to be purged
- Case(s) actually purged
Note: Purging a case will remove all associated transmission information.
After purging cases, you will be given the option to print a Purge Report, with the following options:
- ‘Sort By’: Select either ‘Case No.’ or ‘Case Name’.
- ‘Print Memo Fields’: Select either ‘Yes’ or ‘No’.
Case Purge Report and Purged Case Log
You can view and print Purge Reports of current as well as previous purge executions using the Purged Case Log screen.
- From the Case Purge screen, click on the ‘Purge’ button to view the Purged Case Log screen.
- Click on the down-arrow to the left of the Processing Date. A drop-down list of purge executions by date and time will appear.
- Select the batch of purged cases to view and/or print.
- Click on the ‘Preview’ button to view all of the purged cases in your selection. You may also click on ‘Print’ to print all the cases in your selection.
Finding Purged Cases
Use the ‘Find Purged Case’ feature to find purged case information.
The Find Purged Case feature allows you to locate purged case information and is available when the ‘<<More Options’ button has been selected. Click on the ‘Find Purged Case’ button to open the module.
To view your list in descending order, mark the ‘Descending’ checkbox.
To find a purged case:
- Choose the ‘Search By’ category by clicking on the combo box down-arrow and selecting a category. The ‘Search By’ field displays the current “search category” for locating a case. The search category will default to the last search category used to select a case, usually Case Number or Case Name.
- Position the cursor in the ‘Search For’ field and type in the item you are searching for based on the current ‘Search By’ category.
- Select the purged case to view and click on the ‘View Case’ button.
The Contents Search page offers you the flexibility of searching for cases using these additional ‘Search By’ categories:
- Name
- Address
- City
- State
- Zip
- Tax Identification Number (TIN)
