Items to Send

Banking Items

Before banking functions can be sent to Mechanics Bank, each transaction must be approved by you or the System Administrator you have designated in your office.  If the person entering the transaction has security rights to approve transactions, they will be automatically approved.  If the person entering transactions does not have approval rights, the transaction will retain a status of Pending until a user with security rights approves it on the Items to Send screen (shown below).

Approving Items

Items needing approval will have a status of “Pending” (unchecked) on the Items to Send grid in the Bank Activity screen.  The Items to Send grid can be accessed via two options:

•  From the top Main Menu toolbar (File Menu), select ‘Bank Communication’ > ‘Bank Activity’ and then click on the ‘Items to Send’ tab on the Bank Activity Screen toolbar.

-OR-

•  From the Form Selection toolbar on the far left side of the screen, select the ‘Banking’ tab, click on the ‘Bank Activity’ link under the Banking sub-menu beneath the tabs on the far left side of the screen and click on the ‘Items to Send’ tab on the Bank Activity Screen toolbar.

Click on the ‘Pending only’ filter (radio button option) to view individual Un-Approved items.

If the transaction was entered by a person with security rights, approval will automatically be checked under the checkmark column of the grid.

There are three ways to approve items:

1.  Click on the ‘Approve All’ link at the bottom of the grid as an easy way to approve all pending transactions at one time.

2.  Double click on the checkmark at the top left corner of the screen to approve all items.  This will toggle between ‘approved’ and ‘unapproved’.

3.  Individually check the items you want to approve.

Un-Approving Items (Change to Pending Status)

There are two ways to change the status of a transaction back to Pending:

•  Double click on the checkmark at the top left corner of the screen to un-approve all items.  This will toggle between ‘approved’ and ‘unapproved’.

-OR-

•  De-select (uncheck) the checkbox(s) individually.

Click on ‘Save’ to save changes.

Selecting the ‘Pending Only’ option at the top right of the grid will display just the transactions that have not been approved.
